This Billing, Renewal, Cancellation & Refund Policy explains how HostYourself ("HostYourself", "we", "us" or "our") handles payments, service renewals, cancellations, overdue accounts and refunds for web hosting and related services.
1. Scope
This policy applies to billing and payment matters relating to HostYourself hosting and related services, including where applicable:
- Micro Hosting.
- Standard Hosting.
- Large Hosting.
- Performance or Custom Hosting.
- Website migrations.
- WordPress Care or maintenance services.
- Domain-related services.
- Email or other hosting-related services.
This policy should be read together with our Hosting Terms / Service Agreement and Acceptable Use Policy .
2. Pricing
The price applicable to a hosting service is the price displayed, quoted or otherwise confirmed by HostYourself at the time the service is purchased or renewed.
Hosting prices may vary depending on:
- The hosting plan selected.
- Storage or website requirements.
- Additional services.
- Migration requirements.
- Maintenance or WordPress Care services.
- Custom technical requirements.
- Applicable taxes.
HostYourself may change future pricing from time to time.
A pricing change does not retroactively alter amounts already paid for an active service period.
3. Annual Billing
Unless otherwise agreed in writing, HostYourself hosting plans are billed annually.
Payment covers the applicable hosting service for the service period shown on the invoice, order confirmation or other written confirmation.
Additional one-time or recurring services may be invoiced separately.
Where a plan is advertised as annual hosting, the annual amount is payable for the applicable service period.
4. Canadian Dollars and Taxes
Unless otherwise stated, HostYourself prices are expressed in Canadian dollars.
Applicable sales taxes may be added where HostYourself is required to collect them.
Any applicable tax will be identified on the invoice or payment request.
5. Payment
Payment must be made using a payment method accepted by HostYourself and identified on the applicable invoice or payment request.
HostYourself may accept payment through methods such as electronic payment, payment processor, electronic transfer or another approved method.
A service is not considered paid until HostYourself has successfully received the required payment.
The Customer is responsible for providing accurate information reasonably necessary to identify and apply a payment to the correct account.
6. Service Activation
New hosting services are generally activated after:
- The hosting request has been reviewed and approved.
- The applicable plan and pricing have been confirmed.
- The Customer has accepted the applicable service terms.
- Required payment has been received.
Service activation may require additional time where website migration, DNS changes, domain configuration, email setup or other technical work is required.
7. Renewal
Hosting does not continue indefinitely solely because an account was previously active.
Customers who wish to continue hosting must renew the applicable service for the next service period.
Before the end of an annual hosting period, HostYourself will generally send a renewal notice or invoice to the current email address associated with the account.
The renewal price will be the amount stated on the applicable renewal invoice or notice.
8. Automatic Renewal
HostYourself hosting services do not automatically renew or automatically charge a Customer's payment method unless an automatic or recurring payment arrangement has specifically been established.
Where no recurring billing arrangement exists, the Customer must complete payment of the renewal invoice in order to continue service.
If recurring billing is introduced or arranged in the future, the applicable billing terms will be disclosed to the Customer.
9. Renewal Notices
HostYourself will make reasonable efforts to provide advance notice of an upcoming hosting renewal.
Renewal notices may be sent by email or another reasonable communication method using the contact information associated with the Customer's account.
Customers are responsible for maintaining current contact information.
Customers should keep their contact information current and are responsible for renewing services they wish to continue.
10. Grace Period
Where an annual hosting service reaches its renewal date without payment, HostYourself will generally provide a 7-day grace period before suspending the hosting account.
The grace period is intended to provide a reasonable opportunity to resolve an overlooked or delayed renewal payment.
HostYourself is not required to provide a grace period where:
- The Customer has requested cancellation.
- The service has been terminated for abuse or serious policy violations.
- A previous payment has been reversed or disputed improperly.
- Continued operation presents a significant security or infrastructure risk.
11. Suspension for Non-Payment
If payment remains outstanding after the applicable due date and grace period, HostYourself may suspend the affected service.
Suspension may affect:
- Website availability.
- Email services.
- DirectAdmin access.
- Databases.
- File access.
- Other services associated with the hosting account.
A suspended account may be restored after outstanding amounts have been paid, provided the account has not already been terminated or deleted.
12. Expired Accounts and Data
HostYourself is not required to preserve an unpaid or expired hosting account indefinitely.
If an account remains unpaid following suspension, HostYourself may terminate the service and delete hosted data.
Unless circumstances require earlier deletion, HostYourself will generally not intentionally delete an expired Customer account solely for non-payment until at least 30 days after the service expiration date.
This period is not a backup or data-retention guarantee.
You are responsible for keeping copies of website files, databases, email and other information you need to preserve.
13. Customer Cancellation
A Customer may request cancellation by contacting: info@hostyourself.com .
A cancellation request should identify the relevant hosting account, website or domain.
Cancellation generally prevents future renewal of the service.
Unless otherwise agreed or required by law, cancellation during an already-paid annual service period does not automatically result in a prorated refund of the unused portion of that period.
14. Cancellation Before Activation
If a Customer cancels a new hosting order before the hosting account has been activated and before substantive setup or migration work has begun, HostYourself will generally refund the hosting charge paid.
Any third-party costs, licences, domain charges, custom work or other non-recoverable expenses already incurred at the Customer's request may be deducted from the refund where appropriate.
15. Refunds After Activation
Annual hosting fees are generally non-refundable once the hosting service has been activated.
This is because activation may involve:
- Creation and allocation of hosting resources.
- Account configuration.
- DNS or domain configuration.
- SSL setup.
- Email configuration.
- Website migration or installation.
- Administrative and technical work.
HostYourself may nevertheless issue a refund or credit where appropriate in the circumstances.
Nothing in this policy limits refund or cancellation rights that cannot lawfully be excluded.
16. Billing Errors and Duplicate Payments
If HostYourself receives a duplicate payment or identifies a billing error that resulted in an overpayment, the excess amount will be refunded or credited as appropriate.
Customers who believe an invoice or payment is incorrect should contact info@hostyourself.com as soon as reasonably possible.
17. Domains
Domain registrations, renewals and transfers may involve third-party registry or registrar fees.
Once a domain registration, renewal or transfer has been submitted or completed, the associated charge is generally non-refundable because the underlying transaction may not be reversible.
Where HostYourself does not manage the Customer's domain registration, the Customer remains responsible for renewing the domain directly with the applicable registrar.
18. Website Migrations and Setup Work
Fees charged specifically for migration, setup, troubleshooting, development or other technical work are generally non-refundable once the work has been substantially performed.
If HostYourself is unable to perform paid work because of circumstances within our control, we may provide an appropriate refund, adjustment or credit for the unperformed portion.
A hosting plan that includes migration assistance does not create a separate refundable cash value for the migration service.
19. Third-Party Fees and Licences
HostYourself may purchase or arrange third-party products or services at a Customer's request.
Examples may include:
- Domain registrations.
- Software licences.
- Premium themes or plugins.
- Certificates.
- External services.
Third-party fees are subject to the cancellation and refund rules of the applicable provider and may be non-refundable once purchased or activated.
20. Hosting Included With a Website or Digital Property
HostYourself may include an initial hosting period as part of the sale, transfer or delivery of a website or digital property.
For example, an agreement may include a specified number of months or one year of HostYourself hosting.
Unless otherwise stated:
- The included hosting period has no separate cash or refund value.
- Unused portions of included hosting are not exchangeable for cash.
- The Customer may move the website to another provider, subject to applicable agreements and technical requirements.
- Continuation of HostYourself hosting after the included period requires renewal.
- The applicable renewal price will be disclosed before renewal.
21. Upgrades
Customers may request an upgrade to a higher hosting plan where available.
HostYourself may also recommend an upgrade where a website's storage, email, resource or operational requirements have outgrown the current plan.
Pricing for an upgrade will be confirmed before the upgrade is completed.
HostYourself may apply an appropriate credit for the remaining portion of the existing hosting period when moving to a higher annual plan, depending on the timing and circumstances of the upgrade.
22. Downgrades
A Customer may request a downgrade to a lower hosting plan where the website and account fit within the limits of that plan.
Downgrades generally take effect at the next renewal unless HostYourself agrees otherwise.
HostYourself is not required to provide a prorated refund solely because a Customer chooses to move to a lower-cost plan during an existing paid term.
23. WordPress Care and Maintenance Services
WordPress Care, maintenance, development and other hands-on website services are separate from standard hosting unless expressly included.
Billing terms for those services may differ depending on the service arrangement.
Completed maintenance, troubleshooting, development or administrative work is generally non-refundable once performed.
24. Cancellation Following Suspension or Policy Violation
A Customer is not automatically entitled to a refund where service is suspended or terminated because of:
- A material violation of the Hosting Terms.
- A violation of the Acceptable Use Policy.
- Fraud.
- Phishing.
- Malware distribution.
- Spam or serious email abuse.
- Unlawful activity.
- Other serious misuse of HostYourself services.
Any refund consideration in those circumstances will depend on applicable law and the particular circumstances.
25. Cancellation by HostYourself
HostYourself may discontinue or terminate a hosting service in accordance with our Hosting Terms.
If HostYourself permanently discontinues a prepaid hosting service for reasons unrelated to Customer breach, abuse or non-payment, HostYourself may provide an appropriate prorated refund or service credit for the unused prepaid hosting period.
This does not apply to interruptions, maintenance, temporary outages or circumstances otherwise addressed by the Hosting Terms.
26. Chargebacks and Payment Disputes
If you believe a payment is incorrect, please contact HostYourself before initiating a chargeback or payment dispute so that we have an opportunity to review and resolve the issue.
A chargeback or payment reversal may result in suspension of the associated service while the payment issue is reviewed.
Fraudulent or abusive chargebacks may result in termination of service and recovery of amounts lawfully owed.
27. Account Credits
HostYourself may issue an account credit instead of a refund where appropriate and agreed with the Customer.
Credits may be applied to future HostYourself services according to any conditions communicated when the credit is issued.
Account credits generally have no cash value unless otherwise stated.
28. Refund Processing
Approved refunds will generally be returned through the original payment method where reasonably possible.
Processing time may vary depending on the payment method, financial institution or third-party payment provider.
HostYourself is not responsible for processing delays caused solely by a bank, card issuer or payment provider after a refund has been submitted.
29. Customer Data When Cancelling
Customers planning to cancel or move their website should obtain copies of any website files, databases, email or other information they wish to retain.
Where reasonably requested before termination, HostYourself may provide reasonable assistance with a website transfer or export, subject to technical feasibility and any applicable service charges.
HostYourself is not required to maintain customer data indefinitely after the hosting service ends.
30. Changes to This Policy
HostYourself may update this Billing, Renewal, Cancellation & Refund Policy from time to time to reflect changes to our services, payment practices, infrastructure or applicable requirements.
The Effective Date shown at the top of this page identifies the most recent version.
Material changes affecting active customers may be communicated by email, website notice or another reasonable method.
31. Applicable Law
This policy is subject to the laws of the Province of Ontario and the federal laws of Canada applicable in Ontario.
Nothing in this policy limits statutory rights, refund rights or other protections that cannot lawfully be excluded or limited.
